Management system for dental practices
Dental chart, treatment plans and instalments in one program. What you note at the chair is already at the front desk, with no double entry.
The problem
Notes are taken by hand at the chair, then someone re-enters everything at the front desk: three quarters of an hour a day of double work. The estimate lives on one sheet, the instalments on another, and nobody recalls the patients who have been away for a year, because there is no list to recall them from.
Worth considering if today
- What gets noted at the chair gets re-entered at the front desk
- Accepted estimates and collected instalments live on different sheets
- Nobody recalls the patients who have been away for over a year
- X-rays live in one program, the records in another
What is included
Dental chart and treatment plan
The state of the teeth updates in two taps, and the plan tells planned from done. The front desk sees it in the same moment.
Estimates and instalments
The estimate is presented in several options, and each session deducts its share. Instalments have a due date and a reminder, not a hope.
Automatic recall
Six-month hygiene, yearly check-ups, inactive patients: the lists build themselves and the message goes out on its own.
Multi-chair diary
Every chair has its column and every gap is visible. Filling the diary stops being the receptionist's art form.
Receipts and the health card system
At the end of the visit the receipt is ready and the expense is submitted for the patient's tax deduction.
What changes
Double entry disappears, instalments get collected because they have a due date, and the diary fills up with recalls instead of luck.
The nearest proof
This one does not have a public demo of its own yet, and I would rather say so. Below are the projects that demonstrate the parts it is made of: if a back office handles a diary, stock and products, the same back office can handle another diary and another stock. Look at those and judge from them.
Phases and timing
- Price list and standard plans1 week
Treatments, price list and the most frequent care plans, written the way you actually propose them.
- Chair and front desk4-6 weeks
Dental chart, diary and estimates. Tried on dummy cases until the chair-to-desk loop runs smooth.
- Instalments and recalls2-3 weeks
Payment plans, reminders and the recall lists that go out on their own.
In total8 to 12 weeks, depending on the chairs and what needs migrating.
Practical details
What is not included, what it connects to and the frequent questions: the part worth reading before asking for a quote, opened with one tap.
What is not included
- The radiology software: I connect to what you use (DICOM), I do not replace it

Frequent questions
I have years of records in another program
They migrate: master data and open plans first, the history gradually. Nothing is thrown away, and for a while the two systems coexist.
How do consents for minors work?
The consent belongs to the parents and the system knows it: a minor's file asks for the right signature and keeps it.
How much chair time does learning cost?
A couple of working days, if the chart and price list are yours and not a generic template. That is the first week's job.
Is it worth it for a solo dentist?
Working alone with a few dozen active patients, maybe not, and I will tell you so upfront. It pays off when double entry and missed recalls cost more than the system.
